IATSE Local 470 is moving to Call Steward for dispatch:
what to expect and how to get set up
Local 470 is changing how we send out work. Going forward,
calls will be dispatched through Call Steward, an app and website built
for entertainment labor dispatch. Within the next few days to a week, you'll
get a text message inviting you to sign in or to download the app and
set up your account. This email explains what's coming, how offers will work,
and what to set up so you don't miss work.
WHAT CALL STEWARD DOES
- Sends work offers by text, email, and push notification from the app, so you hear about work quickly.
- Lets you see the calendar of upcoming work and your own schedule in one place.
- Lets you tell dispatch when you are available and when you are not, so you aren't offered work you can't take.
- Lets dispatch see confirmations as they come in, so crews fill faster.
WHEN WE ARE STARTING
We are looking to officially start at the beginning of November. We may run a hybrid period while the last of the software is being configured or any bugs are worked out, so you may still get some calls by phone for a short time. You can expect that TSO will be dispatched through Call Steward.
WHAT HAPPENS NEXT
- Watch for a text message from Call Steward with your invitation. It will come from 833-579-4700. Save that number in your phone so you recognize it.
- Your username will be the email address we have on file for you. If you aren't sure which email that is, contact us (details below) before you try to log in.
- The first time you sign in, click "Forgot Password" to set your own password, then log in.
- If you don't get a text within 5 days, check your spam folder, then email info@iatse470.com.
SETTING UP YOUR ACCOUNT
You can use the website at iatse470.callsteward.com or the Call Steward Mobile app, which is free for Apple and Android. Search "Call Steward Mobile" in your app store. Here's what to do once you are in:
- Download the app and allow notifications. App notifications are built into the app and are faster and more reliable than text or email. When your phone asks for permission to send notifications, say yes.
- Confirm the test call. Once you're set up, you will see a call in Call Steward. If you have created your account, can log in, and have the app downloaded, please confirm this call. That lets us know you are all set. This is NOT a call for work. It is only a test to confirm you can get into Call Steward. There is no job, no show time, and nothing to report to. Confirming it will not affect your standing or your place on any list.
- Select your skillsets. Go through and select the skillsets that you have. After a period of time, your ability to select skillsets will be locked, so please take some time now to select the ones that best represent you.
- Set your notification preferences. Choose whether you want offers by text, email, or app, or a combination. We recommend leaving at least one turned on. If you turn off all notifications, we can't reach you with work.
- Check "My Profile." Make sure your name, phone number, email, and address are correct.
- Enter your vacation and unavailability. See the next section.
VACATION VS. UNAVAILABILITY
- Vacation: If you will be out of the area or gone for a day or more, enter the date range in the Vacation tab and submit it. Time off requests are approved automatically, so there is nothing else you need to do.
- Unavailability: Use this for a recurring time period when you are not available. For example, you have a class on Mondays from a certain time to a certain time, or a job you always work on the same days and times. When you enter your days and times, enter the times you are NOT available, not the times you are available.
You won't be offered work during the times you enter, which saves you unnecessary notifications and saves dispatch time. Please keep both up to date.
HOW A WORK OFFER WORKS
- Dispatch posts a call. Call Steward sends you an offer by your chosen method: text, email, or app notification.
- You open the offer and see the details: employer, location, date, start time, position, and expected end time.
- You respond. When you are offered a call, you have three options:
- Confirm: You will be at the call you are offered. Once confirmed, you can't cancel through the app or website. You must call or text dispatch.
- Pass: This declines you for that call but leaves you available if another job comes up that day and is offered to you. Be aware that you are taking a risk with this option, because the next call might not get to you on the list.
- Decline: This makes you unavailable for any other calls that day. Please be cautious about using the Decline button.
- Once you confirm, you'll see the call on your schedule. You'll be marked unavailable for the length of that call, so you won't be offered anything that overlaps.
CALENDAR, WISHLIST, AND DAILY STANDBY
- Calendar: Call Steward has a Calendar section that will list all of the jobs, just like our regular calendar. You can look through every job on it.
- Wishlist: You can add jobs to your Wishlist. This lets us know you are interested in that job.
- Daily Standby: Under the Wishlist tab there is a Daily Standby switch. If you turn it on, it lets us know you are available for work in case someone calls out at the last minute. Daily Standby resets every night, so you must turn the switch on each day that you want to be considered.
A few things to know:
- You must respond using the app or the website. If you reply to a Call Steward text message, dispatch will not receive it. If you have a question about an offer, call dispatch at (920) 260-8444.
- Respond promptly. Dispatch can't move on to the next person until you answer. Offers allow roughly 24 hours to respond, and sometimes a little more. If you don't respond in time, dispatch will move on to the next person.
- Please don't double-book. Check your schedule before you confirm. You can't be in two places at once.
- Last-minute calls happen. Sometimes a position opens up or someone cancels, and offers go out fast. Turning on notifications is the best way to be first in line.
NEED TO CALL OUT AFTER CONFIRMING A JOB?
- Once you confirm a job, you cannot unconfirm yourself in Call Steward. To call out, you must call or text dispatch at (920) 260-8444. Do it as soon as possible so we have time to find a replacement.
- If you are going to be late, contact dispatch. Don't wait until you arrive to tell us.
- If you don't contact dispatch to say you will be late or that you can't make it, it will be considered a no-show. A no-show will severely affect your receiving job offers.
- Show times, crew needs, and end times can change. Read any updates you receive, and check with your steward when you arrive.
TIPS FOR A SMOOTH START
- Save the Call Steward number, 833-579-4700, as a contact so offers don't get lost in your messages.
- Save the dispatch number, (920) 260-8444, in your phone. You'll need it if you're running late or can't make a call.
- Make sure your phone isn't silencing notifications from the app.
- Log in once right away so you know your password wor=
ks before you need it in a hurry.
- If the app gives you trouble, the website works too. You can log in from any browser.
- If something doesn't look right, contact us. We'd rather answer a question than lose a call.
